When Scott Drapeau opened Alliance Athletics in 2022, his goal was to build a gym where everyone felt safe and included. What began as an 800 sq. ft. space with 50 members quickly grew after he added Kilo’s Gym Lead Machine (GLM) to streamline lead nurture and communication.

Without Kilo

Alliance Athletics was growing fast, but fragmented tools made it hard to keep up. Memberships ran through Zen Planner, leads were tracked in a Google Doc, and without a proper CRM, consistent follow-up was nearly impossible.

Scheduling small-group and 1:1 sessions was a constant headache, and even sending an email blast meant manually resizing images.

Support was slow—responses took days—and Scott had to handle encrypted payment exports on his own.

To justify expanding into the remaining retail bays, he needed 100–150 members, but the systems in place couldn’t support that kind of growth. He didn’t want to work 16-hour days anymore.

Adding Gym Lead Machine

Kilo launched a fast, on-brand website designed to convert local traffic, integrated directly into Gym Lead Machine.

Within two weeks, Scott experienced a significant increase in organic leads.

GLM’s visual pipeline and tasking system enabled follow-up to become an easy process, while automations delivered immediate SMS/email replies, ensuring no prospect went unanswered.

Kilo Gym Management Software

With momentum building, Scott unified billing and memberships on Kilo’s gym management software.

Packages and follow-on packages streamlined trials and upgrades; processing “just worked,” removing billing friction.

For Scott, the real difference was having a website, CRM, and member management system that operated as a single unit, allowing him to run it from his phone.

During the payment data migration, Kilo’s team provided step-by-step guidance and fast replies,same day before 3 p.m., local time, or the next morning otherwise. They also shipped product features Scott requested (e.g., follow-on packages).

With the core gym stable, Scott is spinning up digital offerings like Silly Goose Lifting Club, lightweight subscriptions and online coaching without, compromising the in-gym member experience.
